FAQs

Frequently asked questions

What does a corporate event planner in Toronto do?

A corporate event planner in Toronto runs a company event for the client. That covers objectives and budget, finding the venue, vendor contracts, entertainment, decor, catering, AV and production, timelines, the run of show and on-site management. The Idea Hunter is a Toronto-based corporate event planning and production company. We do this across Ontario, from the GTA to Ottawa, Hamilton, Waterloo and Niagara. You deal with one team, and that team answers for every supplier.

What types of corporate events does the Idea Hunter plan?

The Idea Hunter plans conferences and summits, galas and award ceremonies, holiday parties, product launches, team building and corporate retreats. We also plan anniversaries, sales kickoffs, town halls and client appreciation events. Recent Ontario work includes:

  • Schindler Elevator's 150th anniversary, held across three Toronto venues
  • A 600-guest holiday party and awards dinner at the Fairmont Royal York
  • A five-day program in Toronto and Niagara for about 375 Insulate America guests

Events range from 50 guests to several thousand.

What makes the Idea Hunter different from other corporate planning companies?

The Idea Hunter has planned corporate events for more than 23 years. We deliver 220+ events a year across Canada and keep 97% of our clients. Our Idea Menu holds 750+ ideas for entertainment, activations, decor and experiences. It is the largest event idea database in Canada, and it is backed by 750+ vetted acts. One team handles planning, production and on-site management, so one team is accountable for your event. You see a clear budget before you commit.

How much does corporate event planning in Toronto cost?

Cost depends on guest count, venue, date and how much production the event needs. As a guide:

  • Entertainment and interactive experiences booked on their own start at $5,000.
  • Decor programs start at $15,000.
  • Full-service programs, where we plan and produce the whole event, start at $35,000 and typically go up to $500,000+.

Venue sourcing is free for events of $50,000 and up. You see a clear budget before you commit.

How far in advance should we start the booking process?

For 300+ guests or complex production, plan for 4 to 6 months. Mid-size events need 2 to 3 months. Booking under 4 weeks out is possible, but you will have fewer venue and entertainment options. We reply to every inquiry within one business day. After a discovery call, you receive initial ideas and a ballpark budget within 3 to 5 business days.

Does the Idea Hunter do virtual and hybrid event planning?

Yes. The Idea Hunter plans virtual and hybrid events. This suits teams split between a Toronto office and remote staff elsewhere in Canada. We run virtual entertainment, online team building, hosted games and trivia, and streamed programs on Zoom, Microsoft Teams, Webex or a custom platform. Hybrid events bring in-person and remote guests into one program. Our team runs tech checks and rehearsals before the event and gives live support during it.
