THE BRIEF

A Milestone That Had to Feel Like the Brand

The Idea Hunter produced the Canadian customer evening for Schindler Elevator Ltd.'s 150th anniversary on October 7, 2025, hosting 300 clients, prospects, and Schindler team members across three Toronto venues in one evening. The strategic insight that defined the production was to host the event inside The Well, a Toronto property already equipped with Schindler elevators, turning the venue itself into the product. Guests arrived at the transformed Well lobby, ascended 38 floors in Schindler elevators, and finished at Aera Restaurant for dinner and entertainment.

The production was managed end-to-end across a 12-hour time zone gap between Toronto and the Schindler client team in Shanghai, with a 10-hour overnight load-in window inside an active commercial building. The event was delivered on time, on budget, and with zero day-of incidents across three venues.

The added complexity was significant. Client lead Joey Ge and the core Schindler team were based in Shanghai, coordinating across a 12-hour time difference with a Toronto-based production team on a hard event date of October 7, 2025. The brief called for two distinct experience chapters: a branded lobby activation with a live roadshow presentation, followed by a private dinner at one of Toronto's most celebrated restaurant venues. Every detail required remote approval, cross-time-zone communication, and a vendor roster that could execute without the client in the room.

“Despite our team being based in Shanghai and operating across a 12-hour time difference, Fadi and his team never missed a beat. They were flexible, responsive, and committed to getting every detail right, no matter what time of day it required.”

THE CHALLENGE

Three Venues. One Night. Two Continents.

The logistical architecture was demanding. Guests would depart the Westin Harbour Castle by coach, arrive at The Well on Spadina Avenue for a fully transformed lobby activation and live roadshow, then ascend 38 floors to Aera Restaurant for dinner and entertainment — all within a single evening timeline with no margin for friction between chapters.

The overnight load-in requirement made this harder. The Well Lobby needed to be completely transformed from a working office tower entrance into a full-scale branded Schindler showcase, and returned to normal by morning. That meant a 10-hour overnight window, four 3-ton delivery trucks, 17 AV technicians, a full decor fabrication team, and a production manager coordinating it all against a building management clock.

Layered on top: every creative approval, every scope revision, every budget decision had to flow through a client operating 12 time zones away. No ambiguity. No verbal-only decisions. No surprises at site.

THE EVENT SETUP

The Building as the Product: Three Chapters, One Evening

The strategic insight that defined the evening came from a single observation: The Well is a Schindler-equipped building. TIH proposed hosting the event inside a property where Schindler's elevators were already at work — making the venue itself a live product demonstration. Every guest who rode an elevator to Aera's 38th floor experienced Schindler technology firsthand. The building stopped being a backdrop and became proof.

Chapter One: Arrival & Roadshow. 6:00 to 7:15 PM

Guests departed the Westin Harbour Castle via two 56-passenger motorcoaches and four 31-passenger mini coaches. On arrival at The Well, a 114-foot red carpet guided them into a fully transformed lobby: a 3D Schindler photo installation, a custom-fabricated Schindler Terminal display unit with built-in TV, elevator door vinyl wraps, three 35-foot fabric-wrapped pillars, and timeline pillars tracing 150 years of Schindler history. A 19-by-10-foot LED video wall and 28-foot stage anchored the live roadshow presentation.

Chapter Two: The Ascent. 7:00 to 7:15 PM

Guests moved from the lobby into Schindler elevators, riding the product to the 38th floor. The transition was deliberate. The venue was the message.

Chapter Three: Dinner & Entertainment at Aera. 7:15 to 11:30 PM

Aera Restaurant was dressed in full Schindler brand identity: 28 red window frame vinyls, LED table lamps, custom bar vinyl graphics, and oversized red floral accents. Flair bartenders with dry ice presentations and signature cocktails elevated the bar experience. A facial recognition photographer captured the evening in real time, with a live QR gallery accessible to guests throughout the night.

SOLVING THE CHALLENGES

Engineering a Lobby Overnight

The Well Lobby load-in ran from Monday 6PM through 4AM, a 10-hour overnight window in an active commercial building. TIH coordinated four 3-ton trucks, 17 AV technicians, a production manager, decor fabrication crews, and loading dock operators across two consecutive days, all within a schedule requiring the lobby to be guest-ready by 6PM Tuesday with no visible trace of the build.

Custom-fabricated elements — including the Schindler Terminal display unit and the 3D photo installation — were built, delivered, installed, and tested within the overnight window. The three 35-foot fabric-wrapped pillars were rigged without permanent attachment to the building structure, meeting The Well's property management requirements.

For the Shanghai coordination challenge, TIH established a documentation-first communication protocol from day one: written approvals, structured update windows, and visual confirmation at every milestone. Creative revisions were turned around within the same business day regardless of which side of the time zone was awake. The client remained in full control of every decision without needing to be in the building.

EVENT HIGHLIGHTS

The Lobby That Stopped 300 Guests in Their Tracks

The moment guests turned the corner from the red carpet into The Well's transformed lobby became the defining memory of the evening. What had been a working office tower entrance that morning was unrecognizable: a fully branded Schindler showcase anchored by custom fabrications, an illuminated LED video wall, and 150-year timeline pillars running the length of the space.

Upstairs at Aera, the flair bartending activation — dry ice presentation, bottle sparklers, two signature cocktails — became the social centrepiece of the dinner. The facial recognition photo gallery extended the brand impression beyond the room: guests were sharing professional photos from their personal devices before the evening ended.

THE STRATEGIC VENUE CHOICE
Hosting inside a Schindler-equipped building turned every elevator ride into a product demonstration. The idea came from TIH, not the brief.
114-FOOT RED CARPET ARRIVAL
From street level to lobby, the arrival sequence set the tone before a single word of the roadshow was spoken.
150-YEAR TIMELINE PILLARS
Custom fabricated, double-sided — moved from lobby to Aera mid-evening to carry the brand narrative through both chapters.
CROSS-CONTINENTAL EXECUTION
17 vendors, 3 venues, 300 guests — managed in full with a client in Shanghai. No incidents, no delays.
THE RESULTS

On Time. On Budget. On Brief.

The Schindler Exclusive Evening delivered on every dimension of the original brief. The agency exceeded it on the dimension that matters most: how guests felt when they left.

Feedback from the 300 attendees was overwhelmingly positive. Many described it as one of the best corporate events they had ever attended. For Joey Ge and the Schindler team, the result went beyond execution. The evening reinforced Schindler's position as a global leader in urban mobility — not through a slide or a speech, but through an experience that put their product at the physical centre of the night.

The Idea Hunter managed the full scope on time and on budget, across a 12-hour time zone gap, with zero day-of incidents across three venues.

“Working with The Idea Hunter on our 150th anniversary event in Toronto was an exceptional experience from start to finish. What impressed us most was the strategic thinking behind the event — we hosted at The Well, one of our own Schindler-equipped buildings, turning the entire venue into a live product experience for our guests, which fundamentally changed the impact of the evening. The execution was flawless. The feedback from our guests was overwhelmingly positive, with many calling it one of the best corporate events they had ever attended. The Idea Hunter brought creativity, discipline, and a genuine understanding of what we were trying to achieve as a brand. They did not just plan an event. They delivered an experience that reinforced Schindler's position as a leader in urban mobility, and they did it on time and on budget.”

Frequently asked questions

How does The Idea Hunter approach a corporate brand anniversary or milestone event?

The Idea Hunter approaches brand milestone events with its Venue as Product framework: when a client's product lives in the built environment, the event is hosted inside a property where that product is already at work. For Schindler Elevator Ltd.'s 150th anniversary on October 7, 2025, that meant hosting 300 guests at The Well in Toronto, a building equipped with Schindler elevators, and programming a 38-floor elevator ascent into the run of show as a live product demonstration. The venue itself became the proof, which produces a stronger memory anchor than signage and shifts budget from logo coverage into bespoke installations.

How much does a multi-venue milestone event like the Schindler 150th anniversary cost?

A premium multi-venue milestone production for roughly 300 guests typically ranges from approximately $150,000 to $300,000 or more, depending on venue count, custom fabrication, AV scale, transportation, and entertainment. (Confirm range before publish.) For Schindler, the investment covered three venues in one evening, a 19-by-10-foot LED video wall on a 28-foot stage, custom-fabricated lobby installations built and struck inside a single 10-hour overnight window, and motorcoach transportation for 300 guests. The Idea Hunter presents one all-in investment figure and never itemizes vendor costs to the client.

How far in advance should a multi-venue milestone event be planned?

A milestone event of this scale typically needs 3 to 4 months of lead time, and premium venues often book 4 to 6 months out in peak season. The Schindler evening was managed end to end across a 12-hour time zone gap between the Toronto production team and the client team in Shanghai, which made an early, documentation-first approval protocol essential. Custom fabrication lead times and a 10-hour overnight load-in window both compress quickly if planning starts late.

What did The Idea Hunter deliver as the event producer for Schindler?

The Idea Hunter delivered the full production end to end: creative direction, three-venue logistics across the Westin Harbour Castle, The Well, and Aera Restaurant, a transformed lobby activation, a live roadshow presentation, guest transportation, dinner and entertainment, and on-site management. The scope spanned 17 vendors, 300 guests, and 3 venues in a single evening, delivered on time, on budget, with zero day-of incidents. One point of accountability covered the entire production.

What types of clients does The Idea Hunter work with?

The Idea Hunter produces corporate events for enterprise and mid-market brands across Canada, including Schindler Elevator Ltd., Bayshore HealthCare, Air Canada, Scotiabank, Manulife, the Toronto Blue Jays, Capital One, and BMO. (Confirm public-use client list before publish.) The agency specializes in milestone celebrations, leadership conferences, galas, and brand activations for 80 to 1,600 or more guests.

Where does The Idea Hunter produce corporate events?

Recent productions include Schindler's 150th anniversary at The Well and Aera Restaurant in downtown Toronto, and Bayshore HealthCare's national leadership conference at the Hilton Toronto/Markham Suites in Markham, Ontario.
